I'm going to call the meeting to order Ryan Van discount we need a motion to approve the agenda the number 7 as items or Christian music. Motion Jimena Jenna Renee s good news just one thing I miss is Fitzgerald's Our Miss Fitzgerald isn't able to be tonight she will come back at the program I'd really like a lot more people to hear about it or College and Career transition counselor that was some of that agreement we answer to DMACC Ankeny Mount through the governor's office and we jumped on it I think there's eight College and Career transition counselors across the state of Iowa and we are fortunate enough to share one with Knoxville to I wanted her to come share that program and she will be here in January but I'm going to turn over to mr. Tyler green to talk about his good cuz we got today hot off the press we received 90 grand in a funding from the emergency gate problems with technology and covid discovering our third through fifth grade Chromebooks as well as that last order of 50 so you should be getting that money back from the government and originally we what was our bravery budgeting that money to come out what are you ordering a keystone a doctor that was a suitable or acceptable to do technology and now will not come out of the other three money we had to pay for it but we were we were hopeful that the grant would come through and he just got out today so work with me for a while we'll probably I love to go after grants if we can and so that might be our third or fourth Grant we've got the Jasper County Grant we received your computer science grant received the DNR I feel like there was a few more but so we're pretty excited about that that's all we have I will move on to the consent agenda we might have anything we need to go out of their financial statements I did add one invoice today and we got it Friday afternoon and it the next time sensitive to get a program up and going so that you'll see an extra added thing for NY to I think it's what it is for program so we can get that tomorrow I got my questions answered so we found another long-term sub crack it's the same one okay and then the person does college graduates last weekend we're hoping that maybe they'll become looking for a job we need the motion tab Bruce. opportunity that one-on-one with and one of the things I discovered and you saw that if you look through the facilities is the Monroe Elementary Furniture is significantly outdated like incredibly outdated as in the preschool room doing a rounding meeting I'm looking around and it was really really outdated and you know we have Lisa has shared a lot we have preschool money we need to send not quite sure why it hasn't been updated your have updated information you hear me say all the time Equity Equity between the two and so I would like the board to approve up to $26,000 for preschool furniture and Center so in preschools they have to have these stomach right so they do garden center they do cooking Center really really important part of preschool Christian this play and so this also includes an outdoor storage shed because they have little Trikes and right now if you go to Monroe Elementary they're in the hallway and so Rusty is volunteered to build a shed but this includes the shed so it's not just 26 would you say the shuttle be out of this amount price $6,000 and that furniture would be on call and they have not been replaced in years and is he a new new furniture we are having a lot of money yeah there's definitely no fun so it's out of the operating funds in the general fund hi Carrie over we were going to buy the playground but then that didn't quite work out well so but there's still money in there to do things for preschool program and when you put in put in Furniture like this can go with the room right now and where we're going in one of the areas we really need to take a look at about 3 School programming and so backward like the playground beginning to work on orders and stuff and I just thought you know what we could do the shopping to be a whole bunch of orders coming in at different times and maybe that would have come before the board but I really want you to know or do you really want to restructure that preschool for interest our fingers are crossed and you might think $20,000 in furniture for little big tables a little bitty chairs but they are expensive to get the ones that last no I did I was getting some approval motion second so I guess neighbors say I know it's an approval but it's been it's not like I don't set the adult price and so they have come back and said this while I can get schools haven't already changed the meal trays that it needs to be set for January 1st it is on there and bring it to your attention the price is 395 we can always better if we want but I've always done the minimum so that is I'm going to lunch program has been way ahead on money any way to do it I have something I would have to go back and look at it something to do with they don't want like reimbursement for the student meals to cover the prices of our adults we don't want reimbursement all your payroll all of your food so highest your time put in there that's exactly why so that's why you see that go up consistently cuz I think almost if not every year every other year it goes up $0.10 for adults I'm just going to ask a logical question would it make sense to make it $4 so it's easier for the people who are collecting fees to just have dollars and dollar bills rather than change can do it online Lake been awhile that's right I like one of these friends like I just forgot that part because I'm used to effort to continue and we have done that but we are done anymore with it anymore Communications so basically now this is coming into play beginning January 4th the timelines are still there so I think when do they have to start testing every 7 days is in February officially goes into effect that you either have to get vaccinated before you have to be tested every 7 days and you have to wear a mask at all so given us until I believe like February 10th or something like that before they'll really start enforcing it I think just because they know it's going to take awhile for businesses to get the testing her to set up getting a rapid test I assume they're just giving people a way to get that set up so what you have in front of you is the first read we have to read them twice and so we share those out before. Amber this is one of those things that I had said I believe last month that there's things we are required to do by law and then there's things that try to get her heart set on our beliefs just so we are a public school and we do need to follow the OSHA requirements at this time by the time we come back around next month they'll be something different but we are seeking your we don't need approval for the first read at all just an information we will continue to send out to her stabbed another reminder to turn in their cards if they have them is there any changes nothing is available but there's some change they need to make it now makes sense from their side so you either get the vaccine or you have to be 37 days and wear masks and the way you don't have to do that is either with a medical exemption or a sincerely held religious beliefs so and those are some different. examples of forms you can use for those if we need them as of right now there's a those are the only two exemptions you have enough follow that and so the exemptions are from the vaccination not from the test I don't know when it when it came around the first time they were telling us that the that getting the exemption would cover both but they have not verified any of that now that it's gone back into effect again so I just I mean we all are so if you look at 40 372 and this is the medical accommodation request 403.7 East so just says the policy which is 403.7 and then another really good way to get your eyes on his 4037 are one which is a regulation that tells us what schools have to do to come by the Emojis are exhibits a little form that we can use the I look at this medical accommodation you can see down below it'll say vaccination yes or no testing yes or no use of Base covering yes or no so I very well could have my medical doctor Li physician or nurse practitioner sinus that I have a medical I mean or something I cannot wear a mask and do it the forms that that we have in front of us right now so that yes they can be exempt from all three of those does Biggie does the regulation dictate who qualifies as medical professional I'm looking at it but I'm not seeing that that's why I'm asking that would be questions we have a number of webinars and different things that are coming up with that maybe something in the second reading some questions about that there are several Federal programs and don't allow me to sign I don't know if this is one of them I just want to make sure that and I'm not seeing on the regulation that might be a good question that we need to clarify some on my own the November board meeting so here we are today that's my response when I got it this weekend after last week we all know that was a tough weekend schools I said to myself like a little time out and I'll deal with this after Christmas do we don't need anymore. John and I just been bringing it forward so that you know I will continue to communicate with you any other guidance I will send out to you to let you know then in January at our January meeting will have to adopt a trade if everything is still on track that we might have to take some time to moving on to superintendent comments just save this quick so I can record Challenger I might have dropped it update some days on here but we had breakfast in the barn this morning they respond early morning we are Wednesday or having a staff soup luncheon at 11 feel free to come and see the staff and bring treats share if you want Jim and I are providing soup and get a bunch of snacks order it's it's going to be a nice fun afternoon we decided to do something altogether as a PCM staff Friday the 24th and we should get a little bit from the auditorium over to the high school round table for conducive for collaboration Friday the 24th and December 31st of district is closed no one will be working offices won't be here if people call and try to come by no one's around I put it out here starting in January we are moving back Monroe High School at 6 I did not put 6:00 on there but I will have been here are we decided to any board meetings will be held in mind and it will be for the next 6 months January 3rd is a professional learning you guys are always invited him welcome to come January 4th start of second semester if you recalled Joe Beckman he's coming back tonight January 6th will be at the middle school for half day I put down at 6 am? January 12th is it a Wednesday for a special board meeting / work session?? We agreed to a Monday work session which is January 10th but we would need to get need to meet again on January 12th due to replacing District so did you I want to talk into Ryan we thought why don't we just moved back to Wednesday you can do it on the 10th do it on the 10th yes cuz then I'll be the next thing you know you can do it on the 10th I thought you said we couldn't do it done by the 12th keep it on Monday call me when you go to the meeting and work session together and then January 17th a week later 6 p.m. qcm High School is our regular meeting in the library the other dates and times that I'm missing on there Joe is going to be here on the 4th and then on the 6th Griffith High School what we're hoping to get Joe into a pattern of his meeting with a group of kids every other year it's been he's going to come down and he's going to do fifth grade and eighth grade will actually have a on Monroe PC great group and then he'll do any better off using our resources District 4 representative is next on my updates I know Lisa has sent out great information about that I just am going to give the board an opportunity to ask if you have any questions at this time so we have individuals that express interest but one appointed we can appoint from a group a slate of names that come forward correct if if someone wants to have special election or forces a special election or decides that that's how they want to do this is what's the time frame in the turnaround on that the district pays for the election which is what will run any ballpark on that I just got the bill from Jasper County from November Marion County have not received District special election will be more I don't know for sure how much more but it would be more than a few thousand that sofa special election is requested and is enough canvas and someone chooses to run in opposition will they also have time to do papers or do they have to be filed at the same time so that's a very good question I talked to call for special election he done by petition to make and just request it like they're requesting to be considered so a petition has to be filed the we have to post the vacancy and the petition has to be filed within 14 days about that advertising and posting Osteen official date is as December 23rd that's when it will go on our legal publication and then we'll get it out on the website as well so 14 days from that is the deadline is January 5th so if there is no pic Titian received by then then you can appoint on the 10th if you fail to a point by the 11th which is your 30-day deadline and it automatically goes for special lecture when I talked to Jasper County they did say that there will be a very short turnaround for them to get papers and get them back in because of other elections they have saved that so many days they have to is they'll have caucuses I'll have all kinds of things that they have to back out that they're thinking that it might be a 10-day 10 to 14 day window that would they have to file papers to get it going with their time frame so that I believe once and a special election is called in a petition was presented to us and you you accept it it somewhere like 60 to 70 days and election has to happen will they do have something coming up but it's too far out from that time frame of doing that so this will truly be a special election to be held within that time frame that they don't have all those days together yet and that was when I talked to him on Friday so very turn around but it is just the same way as if you're running during the regular election the operating from the general fund what they did say about the position and it just so you know I have a debit cheat sheet that has all the information and I know it can be confusing when you're talking about the 30 days window but the fort when do within the 30-day window and how it is so I have a cheat sheet that could go out to anybody I've been on some bully and then apply the recommendation of Jasper County when I asked my head a constituent I ask is there a certain specific petition there is when you're running for school board to call for election and there is not a specific petition however they did recommend that we put one together because it has to have the necessary language on it the people who ever sign into has to know what they're signing why they're signing either the purpose of it has to have that as long as it qualifies they said they'd take it they have to make sure that's what they have to make sure so I took the legal language that is given by ASP and the state of Iowa I put our dates on there and what is eligible and I made a petition so if anybody doesn't want to petition they can come see me I can give them a copy of that this would qualify as acceptable addition if somebody wants to do that they have to have 222 lb of electors and that is that's based off at 30% of the number of Voters in the last regular elections that's when it goes off of have to be 18 famous women the PCM school district and I can't be a selling so anybody as long as they're able to vote and living at the same district they can sign a petition however they do it they do it silver I don't know somebody could contested I've had to go and I forget the term as where somebody contested the election we had to go at the county and they had to go through it all the ballads yeah that happened once with somebody can test I'm just verifying that is well if somebody can test it then I guess the county would have to go in and verify it. The school is that would be my guess. as we just have to make sure that they know that it has to be live in the district they have to be 18 to have to be an eligible voter living in the district yes they have to live their address has to be is you have to put your house number and street address so I don't know if my verify so I assumed that the county does and if anybody can test it that's what it is but I will have these information or I will have this information these forms I will have the chi she too has all the dates in there they're very specific dates and if anybody is interested in being acquainted has an interest they required to contact me and submit a letter to me so I will take all that info listen to give to the board will be consistent with everybody and then also the petition will come to me if there is anybody that calls for a special so we had somebody one person that is expressed an interest and no one else file the petition and we did we can go ahead and appoint we don't have to have that special election 30 days you have of appointing you can Point somebody until that 14-day windows up it's a very very short window from the time that's up to the time your deadline but there is that attempt Falls in there and has to be done by Abby will be 11 is the deadline for it so yeah and then if there is no election then you point there's multiple people you still a boy that want to be considered it's up to you guys too we can take it all just let you know and we can pick from those 10 thank you for helping party for everybody to Lisa on this cuz that's a lot of information especially with his dates and a verified with candid with a Jasper County I just want to make sure I have all the dates that we're not messing that the language is okay they they said the Forum looked great it would be acceptable, just make sure that they know that many constituents that information but I do have it and I'll get it back thank you thank you learning so what areas of communication responding constituents emails and phone calls that you know he wanted to talk about that at the board table I listen to a really good communication webinar last week Tammy draw ball she was here before I'm back in January to talk about the written protocol that think their communities still struggles a little bit and how that works and how that should work and so I just want to put that out there and then I'll be coming to drop her off when she was here before we said going to continue to keep learning and we were going to continue to keep talking about how to improve how to respond to constituents when they email us what we can say what we can say how we should say I sure the webinar link with Ryan I didn't know if I shared it out with everybody but if you could since you weren't registered what is descends out webinars and training register I'll send out a record of late usually even if I can't sit there from 12 to 1 I always register and then if I have time later on normally there around an hour but it was very very good communication and how to respond and an interesting thing is they had actually board president from different keyboard it wasn't for sharing stated that they actually emails that went out to all board members to board the board president responded on behalf of the people you have to be very cautious but doctor isn't responding cuz. No Authority but that and she said that she would often times you want to acknowledge your constituents we've gotten your email I'm responding as a board for the boredom before the board that she said as president their board had agreed to that that we would just let the president respond so I think we talked about it we can talk about what you can say what you can't cuz I have never liked her current policy for we have said to install things and we sit here and Waterhead in and listen but that meeting or any meaning following we paid attention to their what they said that we we got to take a look so what I asked if it would be nice to have her help us as a tea drop some communication protocol this is what we will do and then we share it out for Community you know we have shared a flowchart we continue to share out the flowchart we just need to continue to educate people about our policies but then I just think I think it would be helpful cuz I agree thank you play every single time we at least thought about it and looked at it again necessary and I think it's a good idea or any webinars or there's a couple works apps like maybe one in person but she says digital Workshop let me know if you want signed up for him as well as doctor havenstrite said even if you can't they send you the webinar you could listen to other time and they've got I know it's his new board member but you know three of you were fairly new board members so if you want that let me know I can get the registration for you but I still have you down so it's January 27th and it's fine AR workshop and then there's a student learning and superintendent digital workshop on its superintendent evaluation cuz it's been changed so I would like in the evening online there is a free one on January 20th for new board president when when are as well as we speak and get the morning for him the recording and I was try to wake him up if you're coming down so I know you don't know what you talk about it and so they're very very very good I'm not offended one that I I went to this one that's in Wapello the in-person new board member on board I went to that one when I first started it was really it was really where I learned a lot there still a lot more to learn of course but Lori and I went to boarding at the convention and the room people in there but it was really good are there any other topics you want Tammy to help with the communication we we can come up with an idea for me I'm heading over correspondence tonight so we are ready for a motion to adjourn all those in favor say aye not where we being team but I thought I'd hit my heart and then I heard it
